JOB SUMMARY

This position will oversee the management of special events and private rentals within the park venues, including applications and requests, contract generation for clients and vendors, and marketing strategy development and deployment. This includes reserving appropriate facilities, assisting customers with facility layouts and coordinating caterers. The coordinator will support all Crestwood Parks and Recreation Internal Events.  The position will also be responsible for the management of recreation activities within the Parks (i.e., field use, tennis courts, pavilion rentals, etc.).


KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED

  • Design and execute large-and small-scale special events that are intentionally designed to create unique, engaging, inclusive, and memorable experiences for community members.
  • Work collaboratively with community partners to plan and implement community-wide events.
  • Optimize event planning efforts by delegating tasks and engaging with the part-time and custodial staff.
  • Maintain a thorough understanding of processes and provide administrative support to ensure processes, software/systems, and manuals align with best practices and policies.
  • Oversee facility rentals and customer service operations at the Cliffs at Whitecliff Park and future Pickleball and Family Games facility.
  • Plan and implement general interest programming for adults, including monthly senior luncheons. Research and assess new opportunities to expand programming for adults.
  • Establish and maintain annual event planning timelines far in advance of seasonal brochure schedules to ensure adequate availability and planning for programming staff. 
  • Work with the Director of Parks and Recreation to establish pricing for The Cliffs at Whitecliff Park. Along with establishing preferred catering lists and criteria.
  • Analyze program evaluation, participation, and community data to inform decisions, plan for the future and ensure community needs are met.
  • Establish budgetary goals and monitor progress for areas of responsibility, proactively making adjustments as necessary based on revenue and expenditures to ensure goals are met.
  • Respond to customers in a professional and timely manner

 QUALIFICATIONS

Needs a thorough understanding of principles and philosophy of municipal parks and recreation programming. Ability to follow and communicate effectively both orally and in writing. Ability to establish and maintain an effective working relationship with groups, the general public and employees. Knowledge of management practices and the ability to lead and evaluate staff effectively. Knowledge of budgeting, cost/benefit analysis, scheduling and program formulation. Ability to make moderately complex decisions; ability to work in a fast-paced environment, occasionally, under extremely stressful conditions; ability to prioritize and perform effectively with constant interruptions and limited privacy while managing multiple tasks; ability to maintain administrative, fiscal and general records; ability to maintain cordial, effective relationships with other employees and the public; ability to deal with citizens and other individuals courteously and tactfully; ability to elicit information effectively and to convey concise, accurate explanations of programs, policies, procedure and requirements; knowledge of recreation program planning and development, basic budgeting principles and accounting/general ledger; thorough knowledge of grammar, spelling, basic math and vocabulary; thorough knowledge of secretarial practices and procedures; skilled in use of a computer and other office equipment; proficiency in Microsoft Word, Excel, Power Point and CivicRec.

EDUCATION AND EXPERIENCE

A Bachelor's Degree in Parks and Recreation, Physical Education, Hospitality Management, or related field is required. Two years of experience as a facility coordinator, recreation coordinator, or related field. In lieu of Above degrees, must have six years of experience as a facility coordinator, recreation coordinator or related position. Must have or be able to obtain a Missouri driver's license within 30 days of hire. Certification in CPR/AED and first aid, CPRP preferred.

Salary Range: $50,683-$63,354 plus benefits including health insurance (78%-100% paid by the City depending on coverage level), dental insurance (47%-100% City paid depending on coverage level), vision and life Insurance (City paid with benefit 1 ½ times salary plus $20,000), retirement benefits with Missouri LAGERS 100% City Contribution, boot allowance, and vacation (12 days first year) and sick leave.
